Legal Administrative Assistant - Tulsa, OK

We are in search of a highly organized, proactive, and detail-oriented Legal Administrative Assistant in Tulsa OK in partnership with a well-respected law firm.  The Legal Administrative Assistant will support the attorneys in a fast-paced and collaborative legal environment. This role is ideal for a motivated professional who thrives on managing multiple priorities, takes initiative, and is committed to providing exceptional client service.

The successful candidate will bring strong law firm experience, excellent communication skills, and the ability to anticipate needs while maintaining the highest level of professionalism and confidentiality.

Qualifications

  • Minimum of 3 years of law firm experience required
  • Experience supporting both litigation and transactional attorneys is required
  • Strong organizational, proofreading, and time-management skills
  • Excellent written and verbal communication abilities
  • Forward-thinking mindset with strong problem-solving capabilities
  • Ability to work independently while contributing to a team-oriented environment

Key Responsibilities

Legal and Administrative Support

  • Prepare correspondence, memoranda, pleadings, agreements, and other legal documents from written or verbal instructions
  • Draft routine legal and administrative correspondence
  • Transcribe legal documents, correspondence, and reports from rough drafts or dictation
  • Proofread and edit legal documents and correspondence for grammar, punctuation, spelling, and formatting accuracy

Calendar and File Management

  • Maintain attorney calendars, schedule appointments, and coordinate meetings
  • Track deadlines and manage reminder systems using the firm’s calendar tools
  • Open new client matters, coordinate conflict checks, maintain client files, and assist with file closing procedures
  • Organize and manage electronic and physical files to ensure accuracy and accessibility

Client and Office Relations

  • Serve as a professional point of contact for clients, visitors, and outside parties
  • Answer and screen telephone calls, take messages, and route communications appropriately
  • Handle incoming and outgoing mail, ensuring timely and accurate delivery
  • Maintain strict confidentiality and professionalism in all client interactions

Billing and Team Support

  • Enter attorney billable time into the firm’s timekeeping system
  • Assist attorneys with pre-bill review and processing
  • Provide backup support to other legal assistants and administrative staff as needed
